You chose a commercial cleaning service so you could get on with a productive day, not so you could worry about whether the cleaners were doing their job right or not. Some of my colleagues in the cleaning industry are going to hate me for revealing this to you, but I want to be honest with you. Commercial cleaning has suffered for many years under a broken subcontracting model and too many businesses have had to put up with poorly trained cleaners. Many office cleaning businesses’ idea of customer service is to never engage with a customer unless to invoice them or respond to complaints. Sometimes you don’t even get that. Worse still, some cleaning companies will argue with you, telling you you’re wrong to complain!
If you’ve ever wondered who comes in to clean your office, if you’ve ever wondered why the cleaners seem to change every couple months, if you’re not even sure the cleaners have a clue what they’re doing or that they can speak a word of English, chances are your office cleaning has been subcontracted out.

Odds on, your “professional office cleaners” have received a whopping 2 hours of training. That “training” consisted of how to turn on a vacuum, “that spray’s for glass cleaning”, “that spray’s to clean toilets” and “don’t forget to mop the floors before you leave”. In fact, as contractors, the “head contractor” i.e. the cleaning service you actually employed, technically has no say on how the cleaning is done. They’re not allowed to manage and direct the cleaners. They can only tell them the cleaning schedule. Yes that’s right! You did read that correctly.You employed a cleaning company so you didn’t have to manage the cleaners, only to end up in a situation where nobody’s managing the cleaning. All of our cleaners are owner-operator franchisees who go through an intensive 2-3 week training program that covers every aspect of the cleaning – and is equivalent to a Certificate III in Cleaning Operations. We strictly forbid any subcontracting and only trained and vetted cleaners are allowed on site.
Cleaners are trained on what to look out for. How to prepare properly for each task. They’re trained on step by step procedures. Their training is logged.
They must be signed off 10 times to demonstrate that they have successfully completed each training unit. Finally they undertake an evaluation clean, in which they must pass everything and demonstrate a 10/10 clean. After completing their initial training, all franchisees then undertake a 4 month coaching program that equips them to run an outstanding customer service based business. They receive continuous ongoing workshops and training so that they can be leaders in the industry.
When we get started, we’ll issue you with a communication book. It includes your customized schedule including those things you’ve identified as important to you. Every time your cleaners clean, they will complete this checklist on each visit and there is space you can communicate directly with the cleaners and the cleaners with you. In the same book we make available our Safe Work Method Statement and all the Safety Data Sheets which covers both of our legal obligations.
We go one step further and have an App called Janiflow. In addition to the Comm book every time the cleaners arrive you’ll be notified via email of the time they arrive and the time they leave your office. They’ll go through the checklist again on their phone and they’ll even take photos of the things you’ve identified as important. At the end of their clean, you’ll be sent a downloadable pdf report of the cleaning including photos and any special action items.
The important thing is that the cleaners know that you know. It’s a double checklist system that works and makes them totally accountable for their cleaning. We even require them to take a photo of themselves with their name-tag and uniform so you know exactly who’s cleaning your office.
